Information we collect
What we collect depends on how you use our Services. We describe it below for people who visit our websites and for clients and users of our platform.
Information you give us
Website visitors. When you contact us through our websites, we collect what you choose to share in the form: who you are (for example, an artist, a label, or a digital service provider), your full name, email address, phone number, the subject of your inquiry, your message, and your agreement to let us respond.
Clients and platform users. When you work with us or use our platform, we may collect your name, business email address, phone number, company name, postal address, account username and password, and the details needed to provide our Services. These details can include catalog and rights information (such as titles, metadata, artwork, ownership shares, and territories), usage and earnings reports, and the payment and tax information we need to pay royalties.
People named in our clients’ catalogs. To manage, deliver, and account for our clients’ works, we process information about the people connected to them, such as names, credits, roles, ownership shares, and, where needed for payment, contact and payment details. We do this on our clients’ behalf and under their instructions.
Information we collect automatically
When you visit our websites or use our platform, our systems record technical information such as your IP address, browser type, device and operating system, the pages you view, and the time of your visit. To prevent abuse of our contact form, we keep a scrambled (hashed) version of your network address for a short time rather than the address itself.
Our public websites do not use advertising trackers or third party analytics. They store one small setting in your browser for the length of your visit, so the opening animation plays only once. Our platform uses cookies and similar technologies that are needed to sign you in, keep your session secure, and remember your preferences.
Information from other sources
We may receive information about you from our clients, from the stores, services, distributors, and collecting societies we work with (such as usage reports and statements), and from publicly available sources.
How we use information
We use the information we collect to:
- respond to your inquiries and provide customer support;
- provide, operate, and improve our Services, including managing catalogs, registering and protecting rights, delivering content, and calculating and paying royalties;
- set up and secure accounts, and send service, security, and administrative notices;
- send you news about our products and services, where the law allows, with an easy way to opt out;
- understand how our Services are used so we can fix problems and make them better;
- detect, prevent, and investigate fraud, abuse, and security incidents;
- meet our legal, tax, accounting, and contractual obligations; and
- carry out any other purpose we describe to you when we collect the information.
How we share information
We do not sell your personal information, and we do not share it for advertising based on your activity across other websites. We share it only as follows:
- Service providers that work for us under contract, such as cloud hosting and storage, communications, payment processing, security, and support providers. They may use the information only to provide their services to us.
- Partners, as part of our Services, such as digital stores and streaming services, distributors, collecting societies, and rights registries, when we deliver content, register rights, or collect and pay royalties for our clients.
- Our clients, where we act for them, for example when we report the earnings of the people in their catalogs.
- Cashear entities, meaning our parent, subsidiaries, and affiliates under common control, which follow this policy.
- Professional advisors, such as lawyers, auditors, and accountants.
- Authorities and others, when the law requires it, or when we believe it is needed to protect the rights, property, or safety of Cashear, our clients, or others.
- A new owner, as part of a merger, financing, acquisition, or sale of all or part of our business, with notice to you where required.
- Anyone else with your consent or at your direction.
We may also share information that has been combined or stripped of details so that it can no longer reasonably identify you. We will not try to identify you from it again, except as the law allows.
International transfers
Cashear is based in the United States, and we and our service providers process information in the United States and other countries. Their data protection laws may differ from those where you live. When we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland, we use safeguards the law recognizes, such as the European Commission’s standard contractual clauses. You can ask for a copy by writing to privacy@cashear.com.
How long we keep information
We keep personal information only as long as we need it for the purposes in this policy. Inquiries sent through our websites are scheduled for deletion after 90 days, although correspondence that follows from them may be kept while we handle your request. Account, catalog, and royalty records are kept for as long as we provide Services to you or our clients, and afterward as long as we need them to meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements.
How we protect information
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and monitoring. No system is perfectly secure, so we cannot guarantee absolute security. Please do not send passwords, full payment details, or other sensitive information through our contact form.
Your rights and choices
Depending on where you live, you may have the right to:
- know what personal information we hold about you and get a copy of it;
- have inaccurate information corrected;
- have your information deleted;
- receive your information in a portable format;
- object to or limit certain uses of your information; and
- withdraw your consent where we rely on it.
To make a request, write to privacy@cashear.com. We will confirm your request by asking for details that match what we already hold, and we will not treat you differently for using your rights. If you work with us through one of our clients, we may pass your request to that client, since they decide how the information is used.
You can stop receiving marketing emails at any time by using the unsubscribe link in any of them or by writing to us. We will still send messages about your account or our work together.
Additional information for United States residents
Residents of California and other states with consumer privacy laws have the rights described above. In the past 12 months, we have collected identifiers (such as name, email, phone number, and IP address), professional or commercial information (such as company, catalog, and royalty details), financial information needed for payments, and internet activity on our websites and platform. We collect it from the sources and use it for the purposes described in this policy, and we disclose it only to the recipients described above.
We do not sell personal information or share it for cross context behavioral advertising, and we do not knowingly collect information from anyone under 16. We use sensitive information, such as account passwords and payment details, only to provide our Services. An authorized agent may make a request for you; we may ask for proof that you gave them permission.
Our public websites do not track you across other sites, so they work the same whether or not your browser sends a Do Not Track or Global Privacy Control signal.
Additional information for Europe, the UK, and Switzerland
We process personal information on the following legal bases:
- to perform a contract with you or take steps you ask for before entering one;
- for our legitimate interests in running, securing, and improving our business and responding to inquiries, where those interests are not overridden by yours;
- to comply with our legal obligations; and
- with your consent, which you may withdraw at any time.
If we cannot resolve a concern about how we handle your information, you may complain to the data protection authority where you live or work.
Children
Our Services are meant for businesses and professionals and are not directed to children under 16. We do not knowingly collect their personal information. If you believe a child has given us personal information, write to privacy@cashear.com and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will change the date at the top of this page, and if the changes are significant, we will give you additional notice, such as a statement on our websites or an email.
